Business Profile & Branding
Set your business name, owner, contact, GSTIN, address and state, then add your logo, signature and default terms so every invoice looks and bills correctly.
Your business profile is the identity behind every invoice. The name, GSTIN, address and state you save here appear on your PDFs and pay pages — and your state is what decides CGST/SGST vs IGST on each bill. Get it right once and everything downstream stays accurate.

Edit your business details
Go to the Profile tab to manage your core business information.
- 1Go to Profile and find the Business profile section.
- 2Set your business name, owner name, phone and email — these are how customers recognise and reach you.
- 3Add your GSTIN if you're registered, plus your address and state.
- 4Save — changes apply to invoices you create from here on.
| Field | Where it shows up |
|---|---|
| Business name & owner | Header of every invoice PDF and the pay page. |
| Phone & email | Contact line on invoices; the reply-to for customers. |
| GSTIN | Printed on tax invoices for GST-registered sellers. |
| Address | Your registered place of business on the PDF. |
| State | Determines CGST/SGST vs IGST on every invoice. |
Logo, signature & branding
Add a logo and a signature image to make invoices look professional and ready to issue. Both appear on your PDFs when their display toggles are on.
- Logo — sits at the top of the invoice; also used as your brand mark across the app.
- Signature — drops onto the invoice so each PDF arrives signed.
Default terms
Save your standard terms (for example, your payment terms or a thank-you note) so they're ready to include on invoices without retyping. You can still adjust the terms toggle on any individual invoice.
The profile-incomplete prompt
If key details are missing, InvoiceKaro nudges you with a profile-incomplete prompt — a reminder to finish your business profile so your invoices are complete and compliant before you send them.
